Email security | MEO Empresas

  • Besides spam, what other threats exist?

Spam is usually an annoyance that needs to be managed. However, email accounts are also vulnerable to other security issues: This set of security issues, such as viruses, Trojan horses, spyware, and phishing, are referred to as malware.
    • Viruses - Viruses are programs designed to steal or destroy information.
    • Trojan horses—or Trojans—are types of viruses that are installed on computers, concealing harmful behavior that generally aims to extract confidential information from the computer or use the computer to perform certain unwanted actions (such as sending mass emails). Trojans are disguised as invitations to download a software program, visit a website, watch a video, or play a game.
    • Phishing—is the common term for the practice of trying to trick people into providing confidential or potentially harmful information. You will likely receive an email purporting to be from a bank or a government agency, asking users to confirm their credentials for a seemingly legitimate reason.

  • What classifications can be assigned to messages received in the Email Security service?

The service classifies email messages into the following categories:
    • Clean: Email that is considered suitable for delivery to its final destination
    • Spam: Email that is considered likely spam
    • High Spam: Email that is considered spam
    • Virus: Email containing viruses and malware, typically found in attachments
    • Rejected: Email that is rejected for various reasons (invalid sender, unknown domain, invalid or unknown destination address, etc.)
    • Blocked by policies: Email that is blocked when certain rules are activated, such as attachment rules, content rules, etc.

  • Is there a glossary of terms used in the Email Security service?

Below are definitions for the most common terms:

    • A record:IP address record (for example, 194.167.43.5). One of the types of records used by the DNS system
    • CDB:Collaborative Database of Spam Signatures
    • CIDR:Classless Inter-Domain Routing. A new way of interpreting IP addresses that does not require fixed 8-bit blocks in the pre-classes. (It allows for flexible variation in the length of networks and hosts.)
    • DC:Data Center
    • DHA:Directory Harvest Attack
    • DS:Directory Services
    • FQDN:Fully Qualified Domain Name (example: local + parent hostname)
    • GI:Global Infrastructure
    • GIS:Global Information Services
    • Inbound:Traffic (email, data) entering the system
    • IP:Internet Protocol
    • LAN:Local Area Network

  • What is Spam?

Often, an email account user will start receiving messages from people and companies they have never heard of, and probably have no desire to get to know. This is spam, also known as junk mail, or UBE (Unsolicited Bulk Email).

It is estimated that over 80% of all emails in the world are spam, sent en masse by automated programs containing huge lists of email addresses.

It costs spammers very little to send these messages, and the profits generated by the minority who trust these emails are very rewarding. Spammers are constantly improving their techniques, making it more difficult to detect a spam message based solely on the subject line or sender's address.
  • Is spam harmful to my business? Why?

The main drawback is the time (and irritation) spent by email users removing fake messages and trying to find important messages (and potentially missing some). Spam messages, when opened by end users, can install programs and open malicious websites. Spam also has the cost of adding volume to your mailbox and internet network traffic.
  • What technologies are used by the Email Security service?

Anti-spam technologies are used to effectively identify spam and malware, complemented by research based on social network concepts to drastically reduce the occurrence of false positives.
  • How long does it take and what technologies are needed to implement the Email Security service?

This solution will be available approximately 3 business days after MEO Empresas receives all your configuration data, as well as the DNS properly configured for the service.

This process has minimal impact on your company’s service, and there is no risk of losing emails during the setup process. Email Security can be implemented on your company’s network, even if your email system is not hosted on MEO Empresas. One of the advantages of this service is that it is available for domains outside the scope of the MEO Empresas offering.
  • What are the main benefits of having Email Security service?

Even if you already have your own anti-spam and email protection solution, the Email Security service offers you a number of benefits in switching to the Cloud:
    • High service availability;
    • Same features as an in-house solution;
    • Competitive price, without heavy initial investments;
    • Freedom from concerns about platform/service maintenance (software upgrades, patches, etc.), as management is handled by PT
    • Total focus on business objectives.

In addition, MEO Empresas provides you with a wide range of predefined reports and statistics, and can also make certain adjustments to better meet your company’s needs. With these types of reports, you can see the benefits of having your service managed through MEO Empresas, which significantly reduces your operating costs.

  • Can I customize the appearance of the Email Security service management console?

Yes. You can customize the management console to match your organization's branding guidelines. Both the logo used in the console and its overall theme can be configured by hierarchical level (domain, etc.). You can use any of the various pre-built themes, edit it, or create a new one.
  • Can there be different user profiles for accessing the Email Security service console?

Yes. Console users can have the following profiles:

Domain Group Administratorshave control over one or more domains and their respective users and can manage all group features.

Domain Administratorshave full control over an SMTP domain, its settings, and its users, and can manage all domain features.

Domain administratorshave a valid mailbox in the SMTP domain.

Usersare end users with a valid mailbox in an SMTP domain; they can access their quarantine, message list, and change certain settings in their profile.

SupervisorsandHelpdesk Usersare generally regular users who have been granted certain administrative tasks by an Administrator, such as configuring antivirus settings or monitoring email for a particular domain. The only difference between supervisors and Helpdesk Users is the ability to create users of this type.
  • Can each individual user access their quarantined messages without needing access to the Email Security service management console?

Yes. Digests can be configured for individual users or groups of users. A Digest is an email report containing a list of messages that have been quarantined for the user. This report will be sent to the user’s email address at the desired frequency, allowing them to review the messages and release them, if necessary, without having to access the MPS platform.
  • What can be done with each message received by the Email Security service?

You can configure the action you want to take on each received message based on the classification assigned to it. For each message, you can perform one of the following four actions:

    • Forwarded to recipient:The email is considered clean and suitable for delivery to its final destination
    • Flagged:Emails that meet certain rules and policies defined in the system are flagged when they enter the system. This flagging involves adding text to the message body or subject line. These “flagged” emails are then sent to their destination, thereby preventing them from being rejected by the system.
    • Rejected:Emails received that violate certain rules and policies defined in the system are removed from the system after being processed. These messages are spam or potentially dangerous viruses, and for this reason, they are removed without the possibility of reversing this process.
    • Quarantine: The message is placed in quarantine and remains in the system, awaiting a decision on what action to take regarding it.
